Laburnum Psychology Cancellation Policy

Laburnum Psychology Cancellation Policy

7We kindly request at least 48 hours’ notice to change or cancel your appointment.

  • Cancellations within 48 hours: A fee of 50% of the session fee will apply unless we can fill the appointment with another client. Providing more notice increases the likelihood of waiving the fee.
  • Monday appointments: Notice must be given by 10.00 am Friday.
  • Tuesday appointments: Notice must be given by 10.00 am Monday.
  • Cancellations within 2 business hours or missed appointments: The full session fee will be charged.
  • Please note: If a public holiday falls before your appointment, we ask that you give notice before the last business day prior to the holiday to avoid cancellation fees. As our administrative team is unavailable during public holidays, short-notice cancellations during this time may not allow us to fill your appointment.

All cancellation fees must be paid before booking your next appointment.

We understand this policy may cause inconvenience, but due to high demand for our services, it ensures we can provide consistent and timely care for all clients. Our approach aligns with the Australian Psychological Society’s recommendations, which suggest full fees for cancellations within 24 hours and 25% fees for cancellations under 7 days.

If attending in person is difficult, we can switch your session to telehealth (phone or video) at any time before your appointment. Please contact us to arrange this.

NDIS Plan Managed Clients

For NDIS participants who are plan managed, the full standard fee for the scheduled session will be charged when an appointment is cancelled or rescheduled within 48 hours of the appointment time. This policy aligns with NDIS billing guidelines and reflects the differences in fee structures and billing processes for NDIS-funded services compared to privately funded appointments.

We appreciate your understanding, as late cancellations often mean that we are unable to offer the appointment to another client and the associated time has been reserved specifically for you.

We kindly request at least 48 hours’ notice to change or cancel your appointment.

  • Cancellations within 48 hours: A fee of 100% of the session fee will apply unless we can fill the appointment with another client. Providing more notice increases the likelihood of waiving the fee.
  • Monday appointments: Notice must be given by 10.00am Friday.
  • Tuesday appointments: Notice must be given by 10.00am Monday.
  • Cancellations within 2 business hours or missed appointments: The full session fee will be charged.

Any fees related to cancellations or non-attendances will be invoiced to the relevant NDIS Plan Manager.

Assessment Sessions

  • Booking deposit: A $270 deposit is required to secure your assessment. The remaining fee can be paid upfront or in instalments but must be fully paid before the feedback session and report release.  The $270 deposit is deducted from your final payment.
  • Rescheduling: At least 48 hours’ notice is required to avoid a $270 late cancellation fee.
  • Cancellation of Assessment: For cancellations, at least 14 days’ notice is required for a refund of the deposit. Cancellations made with less than 14 days’ notice will forfeit the deposit.
